Privacy Policy

Scope and operator
This policy describes the processing of information by Calliope Business Automation, an internal billing tool operated by Calliope Consulting. The tool is intended for authorized internal use and is not a public account-registration service.
Information processed
The integration processes customer names and billing contact details; QuickBooks customer, service-item, and invoice identifiers; invoice dates, descriptions, amounts, payment terms, and PDFs; email recipients, subjects, message bodies, signatures, and draft identifiers; and account authorization tokens. Operational records may include processing status, timestamps, and error details.
Purpose
Information is used to prepare invoices, retrieve invoice PDFs, create invoice email drafts, prevent duplicate processing, investigate failures, and administer the integration. The workflow creates invoices in QuickBooks and leaves email drafts for human review and sending.
Services involved
The integration is designed to use QuickBooks Online for accounting records and invoice PDFs, Google Workspace for email drafts and the sender’s signature, and Amazon Web Services for execution, configuration, credentials, and processing records. These providers process information under their own applicable terms and privacy policies. Invoice data is not intended to be submitted to generative AI services as part of this workflow.
Access and disclosure
Access is limited to authorized persons administering Calliope Consulting’s billing and the service providers needed to operate the integration. Information is not sold or used for advertising through this tool. Information may also be disclosed when required by applicable law.
Storage and retention
Invoices and email drafts remain in their respective QuickBooks and Google Workspace accounts until managed or deleted there. Billing configuration, processing identifiers, and operational records are retained as needed for billing administration, duplicate prevention, troubleshooting, and applicable recordkeeping obligations. Authorization tokens are retained while needed for an authorized connection. Deleting integration records does not automatically delete accounting records or email held by connected providers.
Security and authorization
The planned AWS deployment uses managed secret storage and restricted access for integration credentials. Operational logs should exclude authorization tokens and full invoice or email contents. Account authorization can be revoked through the relevant provider’s account controls; revocation stops future authorized access but does not erase previously created records.
Requests and changes
For questions about access, correction, deletion, or this policy, contact info@calliope.consulting. Requests are subject to identity verification and applicable accounting or other recordkeeping obligations. This policy may be updated when the integration’s operation or data practices change.
